## Overview

NICE HMS offers paid plans that scale with your organization. All plans include automatic updates, secure cloud hosting, and email support. Yearly billing saves 10%. Registration is free — you only pay when you subscribe to a plan.

## How Pricing Works

### User-Based Model

Each plan includes a set number of users. If you need more, you can add extra users at a per-user-per-month rate. Only **active** users count toward your bill. Marking a user as Inactive removes them from billing.

For example: a nursing home on the Hospital plan with 6 active users pays the base price + 2 extra users.

### Bed Count Rule

Pricing is based on both users and beds. 1 user is equivalent to 2.5 beds. Your subscription is calculated on whichever count is higher — users or bed-equivalents.

For example: a hospital with 6 active users and 20 beds. Beds convert to 20 / 2.5 = 8 user-equivalents. Since 8 > 6, billing is based on 8. You can stay on the Hospital plan and pay for 4 included + 4 extra users, or upgrade to Enterprise where 10 users and 25 bed-equivalents are included at a lower per-unit rate.

### Yearly vs Monthly

Yearly billing gives you a **10% discount** compared to paying month-to-month. Switch between monthly and yearly from **Admin > Billing**.

### Implementation Fee

One-time implementation and training fee covers:
- Initial setup and configuration
- Staff training (remote)
- Go-live support

Data migration from existing systems is billed separately.

### GST

All prices are exclusive of GST. GST is added at the applicable rate during billing.

## Enterprise & Custom Plans

For hospitals with more than 20 users, custom workflows, or special compliance needs:

**Q: How much does NICE HMS cost?**

**Q: Is there a free plan?**
A: No. Registration is free, but using HMS modules requires a paid subscription.

**Q: What happens when I exceed my user limit?**
A: The system prompts you to either upgrade your plan or add extra users. You won't lose access — you'll just need to adjust your plan.

**Q: Can I switch plans mid-cycle?**
A: Yes. When you upgrade, the unused portion of your current plan is prorated toward the new plan. Contact support for plan changes.

**Q: Do visiting doctors count as users?**
A: Only if their status is Active. Mark visiting doctors as Inactive to exclude them from billing while keeping their profile available for prescriptions and referrals.
