Nice HMS has introduced a powerful new feature that significantly improves stock and inventory management for both hospitals and pharmacies. Managing medicines in a healthcare setup is uniquely challenging due to the need to track batch numbers and expiry dates. Inventory reconciliation is often tedious, but this update makes the entire process much more efficient.
Why Stock Verification Matters
One of the most common issues in inventory systems is ensuring that physical stock matches digital records. Mistakes due to expired, damaged, or misplaced items are often unavoidable. Therefore, having a seamless way to correct and adjust stock is essential for running a reliable healthcare facility.
With this new update, Nice HMS simplifies stock corrections, helping you maintain accurate and real-time inventory data across all departments.
Simplified Purchase and Debit Note Process
When medicines or consumables are purchased, users can now access the Accounts menu to create a Purchase Note or Debit Note (for returns or cancellations). This feature is available for both the pharmacy and hospital inventory systems.
While adding items to the note, users can also attach batch information. You can either:
-
Select a batch from an existing dropdown (auto-fills manufacturing and expiry dates), or
-
Enter batch details manually.
Although batch entry is optional, including batch, manufacturing date, and expiry date is highly recommended. This enables the system to automatically predict near-expiry drugs and alert staff in advance.
Once the purchase is submitted, items become available for sale through the usual workflow. While it's not mandatory to select a batch during the sale, tracking batches at the time of purchase empowers the system to make intelligent stock alerts.
Physical Stock Voucher: Match System with Reality
To reconcile your actual stock with what's recorded in the system, use the Physical Stock Voucher feature. Here's how:
-
Go to MIS Reports > Stock and GST Reports.
-
Choose either Pharmacy or Hospital, then click the Set button.
-
A popup will appear where you can update the quantity per batch.
-
If a batch is listed in the dropdown, selecting it will auto-fill the manufacturing and expiry dates.
-
Enter the actual physical quantity for each batch.
Once all updates are made, click Submit to apply the new stock values. This keeps your system aligned with real-time inventory.
Conclusion
The enhanced stock management system in Nice HMS is a major step forward for hospitals and pharmacies. From better purchase tracking to batch-level control and accurate physical stock verification, this update is designed to reduce manual errors and improve operational efficiency.
By leveraging these tools, healthcare providers can ensure safer patient care, minimize losses due to expired or misplaced inventory, and maintain tighter control over their medical and consumable supplies.
