Printing and Setting Up Letter Pad Header

Overview

NICE HMS supports two printing workflows through two separate admin pages:

Preprinted stationeryUse physical paper that already has the letterhead. Configure how many lines to skip at the top and bottom so content aligns with the preprinted design.

Both are configured from the Organization Uploads page. Doctor-level uploads handle signatures, OPD print templates, and personal letter pad headers.

Only users with the admin role can access these pages.

Organization-Level Setup

This page has two sections:

Image Upload

Upload a letterhead image — this is the top strip of your letter pad (logo, clinic name, address, registration numbers), not a full-page background. The system renders content below it.

Paper sizes available: A0, A1, A2, A3, A4, A5, A6, Letter, Legal, Ledger, Tabloid

Paper size is chosen per upload, not set globally — you can have different sizes for different header types.

Preprinted Stationery Configuration

If you use physical preprinted letterhead paper, configure how much space to reserve so printed content doesn't overlap the preprinted design.

Doctor-Level Uploads

There are two pages for doctor-level images:

Signature and OPD Print (Admin)

Sidebar → Admin → Doctor → Uploads (/admin/admin/doctor/uploads)

  1. Select a doctor from the dropdown.
  2. Choose the image type:
    • Signature — doctor's signature image, appears on prescriptions
    • OPD Print — custom print template overlay (e.g., an eye diagram for an ophthalmologist)
  3. Select a Paper Size.
  4. Upload the image (PNG, max 200KB, up to 4 files).

Personal Letter Pad Header

Sidebar → Doctor → (select doctor) → ID (/admin/doctor/doctor-mangement/{doctorId})

Each doctor can have a personal Letter Pad Header image that overrides the organization-level patient record header for their prescriptions and documents. Upload a PNG with the desired paper size.

How Headers Appear on Prints

  1. Generate the document (prescription, invoice, report, discharge summary).
  2. The PDF opens in a new browser tab with the appropriate header image at the top.
  3. Press Ctrl+P (or Cmd+P on Mac) to print, or save as PDF.

The header auto-selects based on document type:

  • Patient records, OPD slips, and discharge summaries use the Patient Record Header
  • Invoices use the Account Header (or the Pharmacy/Lab variant if available)
  • Reports use the Report Header

If a doctor has a personal letter pad header, it overrides the organization header for that doctor's documents.

For preprinted stationery, the configured header/footer lines and margins tell the PDF generator where content starts — the uploaded header image is not rendered; the physical paper already has it.

FAQ

Q: What image format is required? A: PNG only. Max 200KB per upload. The uploaded image should be the top strip of your letterhead (logo, name, address), not a full-page design.

Q: Can different doctors have different letterheads? A: Yes. Upload a personal Letter Pad Header from the doctor management page. It overrides the organization-level patient record header for that doctor's documents.

Q: Can I use preprinted stationery for some documents and plain paper for others? A: Yes. The preprinted settings (header/footer lines and margins) are configured separately from image uploads. You can upload images for plain-paper printing while also configuring preprinted margins for physical letterhead.

Q: What's the difference between OPD Print and Letter Pad Header? A: Letter Pad Header is the top-of-page letterhead (clinic name, logo, address). OPD Print is a custom template or diagram that overlays on the OPD slip content — for example, an eye anatomy diagram for an ophthalmologist's OPD slip.

Q: Do I need to set paper size for every upload? A: Yes. Paper size is part of each upload — you choose it alongside the header type and image. This lets different document types use different paper sizes.

Q: How do I remove or replace an existing header? A: Upload a new image for the same header type. It replaces the previous one.
